Terms and Conditions for an Art Exhibition

These Terms and Conditions outline the agreement for exhibiting artwork at Old Grocery Art Space. Please review them carefully to ensure clarity and mutual understanding.

1. Fee Structure

Exhibitions featuring 1–3 artists:  £55 per day, based on a minimum booking of 7 days (£385 total).

Exhibitions featuring 4 or more artists: £75 per day, based on a minimum booking of 7 days (£525 total).

Additional days: £50 per day, subject to prior agreement at the time of booking.

2. Application Process

Pre-Application Discussion: All prospective exhibitors must discuss their work with Jonathan Hawkins before submitting an application.

3. Use of Space

Alterations: Redesign or alteration of the gallery space is prohibited. Walls must remain brilliant white throughout the exhibition period.

Exhibition Hours: The gallery operates from 10:00 am to 5:00 pm daily, unless otherwise agreed in advance. Artists are responsible for supervising their exhibition during these hours. Artists must not arrive before 9:50 am and must vacate the premises by 5:10 pm, including on set-up and take-down days.

4. Responsibilities and Insurance

Artist's Responsibilities: Artists are responsible for the transportation, installation, and deinstallation of their artwork. They must ensure adequate insurance coverage for their works during transit and while on display.

Gallery's Responsibilities: Old Grocery Art Space provides public liability insurance covering the premises. However, this does not extend to the artist's works; artists are advised to secure their own insurance for their artworks.

5. Financial Terms

Holding Deposit:

A refundable holding/damage deposit of £150 is required to secure the exhibition space. This deposit will be refunded in full, provided the space is vacated in its original condition. Payment is due upon receipt of an invoice issued after application approval.

Hire Fee Payment:

The hire fee is payable one month before the exhibition start date, regardless of the fee structure selected.

Commission-Based Hire:

Artists interested in a commission-based hire arrangement are encouraged to contact Jonathan Hawkins directly to discuss the details.

6. Promotions and Marketing

Rights: Artists retain all rights to their work, including intellectual property rights.

Use of Gallery Name: Artists may use the gallery's name and promotional materials for marketing purposes related to the exhibition.

Artist's Promotional Materials: Artists are responsible for producing and distributing their own promotional materials (e.g., business cards, flyers). The gallery is not responsible for these materials but will permit their distribution during the exhibition.

7. Cancellations and Force Majeure

Gallery-Initiated Cancellations:

If Old Grocery Art Space cancels the exhibition, the agreement becomes null and void, and all fees, including the holding deposit, will be refunded in full.

Force Majeure:

In events beyond control (e.g., natural disasters, strikes, epidemics), the exhibition will be rescheduled to a mutually agreed date.

Cancellation by the Artist:

If the artist cancels the exhibition, the holding deposit will be forfeited unless the artist books an alternative suitable exhibition slot within 12 months of the original booking.

Terms and Conditions for Pop-Up Hire at Old Grocery Art Space

These Terms and Conditions outline the agreement for hiring Old Grocery Art Space for a Pop-Up. Please read carefully to ensure clarity and mutual understanding.

1. Fee Structure

One-Day Pop-Ups: £60 per day.

Two- or Three-Day Pop-Ups: £50 per day.

The hire fee is payable in the month preceding the planned Pop-Up, and payment must be made upon receipt of an invoice issued after application approval.

Important Note: Pop-Ups can only be booked when there is a viable gap in the schedule of main art exhibitions. Availability is subject to confirmation by Old Grocery Art Space.

2. Application Process

3. Use of Space

The gallery operates from 10:00 am to 5:00 pm daily, unless otherwise agreed in advance. Vendors must not arrive before 9:00 am and must vacate the premises by 6:00 pm, including set-up and take-down. Vendors are responsible for supervising their Pop-Up during these hours.

Vendors are responsible for transporting, setting up, and removing their stock. They must ensure adequate insurance coverage for their products during transit and while on display.

Gallery's Responsibilities:

Old Grocery Art Space provides public liability insurance covering the premises. However, this does not extend to the vendor's stock or any associated risks. Vendors retain full responsibility and liability for their own products and any related incidents.

6. Cancellations and Force Majeure

Vendor-Initiated Cancellations:

If the vendor cancels the Pop-Up, the hire fee will not be refunded.

Gallery-Initiated Cancellations:

If Old Grocery Art Space cancels the Pop-Up, the agreement becomes null and void, and all fees will be refunded in full.

Force Majeure:

In the event of unforeseen circumstances (e.g., natural disasters, strikes, epidemics), the Pop-Up will be rescheduled to a mutually agreed date.

Vendor Rights: Vendors retain all rights to their products and services.

Use of Gallery Name: Vendors may use Old Grocery Art Space's name and promotional materials for marketing purposes related to their Pop-Up.
